Events Manager

We are currently looking an Events Manager to join our Events Team! Reporting to the Director of Events management, this position will be responsible for coordinating logistical and operational elements of assigned meetings, shows and special events while providing high quality service and client relations in order to ensure successful events.

Duties and Responsibilities:

  • Manage the logistics, business relationships, communications and execution of all events as assigned.
  • Conduct and coordinate meetings, appointments and site inspections with clients and/or service providers for assigned accounts.
  • Gather event related requirements (i.e., floor/rigging plans, insurance, security and first aid schedules, emergency response plan, food and beverage requirements, and event information, etc.) for each assigned Event in a timely manner and accurately detail each event and communicate these requirements via Event Order (EO), Event Resume (ER) and Floor Plan to facility staff and in-house service providers.
  • Research, coordinate, track and analyze all aspects of the Food & Beverage operations.
  • Provide menu planning, customization and consultations with clients.
  • Provide continuous on-site support, coordination and contact with clients, facility staff, and service providers to ensure all events run smoothly.
  • Program electronic and LCD signage for assigned Events as required.
  • Prepare correspondence, agendas and meeting minutes for assigned Events.
  • Provide on-site updates, post event reports and recommendations for each assigned Events to the Director of Events Management.
  • Attend and/or chair meetings associated with the Operations Department.
  • Propose new ideas to improve the event planning and implementation process for the Events Management Department.
  • Maintain assigned Events in Event Business Management Software (EBMS).
  • Co-ordinate and chair pre-show and post-show meetings as required with clients, suppliers and facility staff.
  • Embrace and act as an ambassador to the company’s CSR platform and understanding it’s business impact.
  • Provide support to other departments and staff as required and other duties and special projects as assigned.


  • Minimum two years’ experience in coordinating events.
  • Menu planning and consultation skills; knowledge of food and beverage cost controls is an asset.
  • Proven ability to manage multiple projects, work assignments and meet deadlines in a fast paced environment.
  • Excellent planning, organizational, time management skills with ability to work independently with minimal supervision.
  • Strong working experience with Microsoft Word, Excel, Outlook, and PowerPoint.
  • Event based software application an asset (i.e. EBMS, Delphi).
  • Excellent interpersonal and communication skills (written and oral).
  • Professional demeanor and able to relate easily to a wide range of stakeholders.
  • Strong organizational, project management, multi-tasking, and time-management skills; ability balance multiple projects seamlessly while adhering to stringent deadlines.
  • High attention to detail and accuracy.
  • Resourceful and proactive.
  • Flexible with scheduling – occasional evening and weekend duty required.
