Sales & Service Assistant – Western Canada

This is a Contract position in Calgary region, AB posted December 30, 2017.

LOCATION: CALGARY, ALBERTA

This position of Sales & Service Assistant will report to the Client Service Supervisor

– Western Region.
·Provides administrative support as required such as mail, faxes, filing, courier, sponsorship requests, invoices, preparing letters, making travel arrangements, managing the marketing cupboard, monitoring office inventory, greeting guests and answering the phone.
·Prepares, distributes and tracks commissions.
·Prepares, activates and tracks plan sponsor/advisor online agreements.
·Prepares packages for plan sponsors and member meetings.
·Inputs and peer reviews in our system administrative, commission and stop loss rates.
·Assists with event planning as required and track activities.
·Assists sales and service team with client/advisor requests by running various reports.
·Support sales team by ensuring CRM is up to date with sales leads and opportunities, as well as preparing and assembling supporting material as it relates to renewals.
·Supports our sales and service team as required.
·Advantage etc (Correspondence, WSS, Online Admin, Contact updates)
·Pass along the WMS requests, as well as callers looking for plans
·Coding invoices to send to AP department
·Administrative audits on the office
·Update contacts simultaneously in Advantage and CRM
·Help Service team track and improve PMOL usage
·Main contact with building and other vendors
·Research claims as per service and sales rep requests
·Forwarding claims and invoices to head office
·Work with IT department in Windsor to resolve any Calgary technological issues
·Complete RFQ’s for AE’s in Calgary office and as required by other offices when covering
·Assist Head Office with annual Health Study as required
·Provide other Sales Assistants with vacation coverage
·Understanding of group benefits and administrative sales support function is an asset.
·Proficient in Microsoft Office applications, specifically Word and Excel (will be tested).
·Post-secondary education and/or certificate in Administration.
·Superior organizational and planning skills.
·Excellent communication and problem solving skills.
·Ability to multi-task, work well under pressure, and be self-reliant, while having a focus first and foremost on the success of the team.
·Ability to work in a fast paced and deadline driven environment.
·Flexible and able to adapt to changing responsibilities and business environment and do so with strong attention to detail.
·Passionate, have a positive attitude, a willingness to learn new tasks and teach both internal partners and your teammates.
·Committed, accountable, professional and able to take ownership.
