The role Reporting to the Vice-President, Corporate Controller , the Manager, Business Travel & Expense Operations will be responsible for all aspects of leading, maintaining, and developing the global travel and business expense program across all of Mark Anthony’s operations.

This includes, but not limited to, travel and business expense policy development and maintenance, vendor relationships and contracts, cost savings initiatives, Concur Travel and Expense Solution, spend reporting, policy compliance, employee training, and communication re travel and expense matters.

In this role you will partner with several different Corporate Finance and Business Unit employees to fulfill its directive.

What you’ll do Travel Program Management Lead and manage all aspects of the travel program in accordance with our Company policy.

Undertake regular policy and process audits and reviews to ensure they are up to date with Company needs and travel industry changes / standard processes.

Work in partnership with key senior Business Unit partners to ensure policy compliance, undertake policy streamlining / efficiency opportunities and share best practices.

Be responsible for and / or deliver training sessions as needed to employees re the Company’s travel policies, processes, and systems.

Ensure the Company is fulfilling its “Duty of Care” responsibilities for travelling employees Be responsible for Travel and Business Expense postings and communications on the Company Intranet, MAGNET Lead travel and expense software tools (Concur Travel & Expense) to ensure they are operating efficiently gaining user support and satisfaction Evaluate and recommend new tools, software and operating procedures to help increase efficiency, reduce cost and improve service to employees.

Accountable for all hotel, air and car rental relationships, rate negotiations and annual contracts.

Leverage group spend to negotiate preferred provider discount agreements and maintain effective vendor relations.

Expense Reporting Management Lead and manage all aspects of the expense program including Concur Expense module administration and functionality, expense report processing, expense report reviews (Concur Audit or employee review), fulfill partner needs and ensure adequate internal controls.

Publish monthly KPI results of Expense Reporting Manage the Company’s corporate credit card programs including program terms, maximizing rebates earned, issuing and cancelling cards, etc.

Travel and Business Expense Reporting Oversight Prepare consolidated and Business Unit monthly spend reporting and review with partners on a regular basis Prepare monthly detail analysis reports of travelers’ bookings and expenses to assess adherence to program policies and to find opportunities for improvement / cost savings.

Work with department heads to generate travel budgets and identify cost reduction opportunities.

Ensure that employee expenses align with Company policy and that established review processes are operating as expected prior to payment.

Effectively manage policy exceptions.

Research industry travel and expense trends, and standard processes for ongoing implementation and benchmarking.

Continually identify cost savings opportunities.

What you’ll bring Undergraduate degree is preferred or equivalent experience with related training and education.

Minimum of five years of active Travel Consultant or Corporate Travel experience.

Background and understanding of financial reporting and analysis is beneficial.

Industry accreditation such as Corporate Travel Expert (CTE), or Global Travel Professional (GTP) is preferred.

Thorough knowledge of the travel and expense industry in domestic and international markets.

Knowledge of global faring and ticketing procedures.

Experience with Concur’s Travel and Business Expense modules is preferred, as well as other leading industry travel tools.

Any additional certification related to traveling and tourism will be considered an advantage.
